Coastal Awakening – Terms & Conditions

1) Who you’re contracting with
Coastal Awakening (“we/us/our”). Contact: hello@coastalawakening.com.
These Terms are governed by the laws of England & Wales and disputes shall be brought in the courts of Wales (or, if not possible, England).


2) What’s included / not included
Your booking confirmation and event page describe what’s included. Unless explicitly stated, the following are not included: travel to/from the venue, travel insurance, medical costs, optional extras, restaurant add-ons, and personal equipment.


3) Prices & payment

Prices shown in GBP and include UK taxes where applicable.

Deposit: 30% non-refundable to secure each place.

Balance: due 30 days before the start date. Missed payments may be treated as cancellation with fees applied.

Payments are processed via our provider (e.g., Stripe). Processing fees are not refundable.


4) Cooling-off period
We offer a goodwill 24-hour grace period after booking (if the event start is more than 30 days away) to cancel for a full refund. After this, standard cancellation terms apply.


5) Your cancellation / changes

61+ days before start: deposit forfeited.

31–60 days before start: 50% of total price.

15–30 days before start: 75% of total price.

0–14 days before start: 100% of total price (no refund).

Name transfers: one free transfer up to 14 days before the event.

Date transfers: treated as cancellation unless agreed in writing.


6) Our changes / cancellation

Minor itinerary/facilitator changes may occur (weather, tides, safety).

Minimum numbers: if not met, we may cancel no later than 21 days before start. You’ll be offered a transfer or full refund of monies paid.

Force Majeure: for events beyond our control (e.g. severe weather, government action, venue closure), we may postpone, modify or cancel. Refunds/credits may exclude unrecoverable costs.


7) Health, fitness & participation

Activities can be physically demanding (sea dips, sauna, walks, breathwork). Attend only if you are fit to participate and follow safety instructions.

Disclose relevant conditions in advance (heart/respiratory issues, high blood pressure, pregnancy, injuries). Bring any required medication.

Alcohol and drugs are not permitted. Guests under the influence may be asked to leave with no refund.


8) Accommodation & rooming

Accommodation is allocated by us to create a balanced guest experience. Photos are illustrative only.

Shared rooms/beds only by your express choice (e.g. with a named guest).

Guests are responsible for any damage caused. Venue damage deposits may be passed on.


9) Meals, allergies & dietary needs
We aim to provide high-quality meals. Please tell us in advance about allergies or requirements. We will take reasonable care but cannot guarantee an allergen-free environment.


10) Personal property & insurance
You are responsible for your belongings. We are not liable for loss, theft, or damage to personal property. Please arrange suitable insurance.


11) Conduct & right to refuse service
Respect staff, facilitators, other guests, and venues. We may refuse participation or require a guest to leave if behaviour is unsafe or inappropriate (no refund).


12) Photography & testimonials
We may take photos/videos for promotional use. If you do not wish to appear, tell us before the event and inform the host on arrival.


13) Data protection
We process personal data to manage your booking and deliver the event. See our Privacy Policy for details.


14) Third-party providers
Some sessions/add-ons may be delivered by third parties (sauna, sound bath, catering). Their terms may apply. We are not liable for acts/omissions beyond our control.


15) Accessibility
Contact us before booking to discuss accessibility needs. We will do our best to make reasonable adjustments, subject to venue constraints and safety.


16) Age & eligibility
Events are for adults 18+ unless stated otherwise.


17) Gift vouchers & discount codes
Valid only within stated dates/conditions, non-refundable, no cash value. One code per booking unless indicated.


18) Chargebacks & disputes
Please contact us first to resolve issues. Unfounded chargebacks may incur an administrative fee and we will provide evidence to the payment provider.


19) Liability
Nothing limits liability for death/personal injury caused by our negligence or other liabilities that cannot be limited by law. Subject to this, our total liability is limited to the amount paid for your booking.


20) Complaints
Raise issues with the host during the event so we can help. You may also email hello@coastalawakening.com within 14 days after the event.


21) Changes to these Terms
We may update these Terms from time to time. The version in force when you book applies to your booking.


Coastal Awakening – Privacy Policy

1) Who we are
Coastal Awakening (“we/us/our”) is committed to protecting your privacy. Contact: hello@coastalawakening.com.


2) What information we collect
We may collect:

Your name, email, phone, and booking details.

Payment information (processed securely by our provider, e.g. Stripe – we do not store card details).

Dietary or health information you provide (only for event participation).

Technical data such as IP address or browser type when using our website.


3) How we use your information
We use your information to:

Process bookings and payments.

Communicate with you about retreats and services.

Deliver activities safely and appropriately (e.g. dietary needs, health info you share).

Improve our services and website.

Comply with legal and regulatory obligations.


4) Legal basis for processing
We process your personal data on the basis of:

Contract (to deliver the service you booked).

Consent (where you choose to share health/dietary data).

Legitimate interest (marketing updates, unless you opt out).

Legal obligation (record-keeping, tax, etc.).


5) Sharing your information
We may share information with:

Venues, facilitators, or service providers (only what they need to deliver the event).

Payment processors (e.g. Stripe).

Legal or regulatory authorities if required.
We never sell your data to third parties.


6) How long we keep it
We keep your booking records for up to 6 years for legal/tax reasons.

Health/dietary information is deleted within 30 days after your retreat ends.


7) Your rights
You have the right to:

Access the data we hold about you.

Request correction or deletion.

Withdraw consent where given.

Object to certain types of processing (e.g. marketing).

8) Cookies
Our website may use cookies for functionality and analytics. You can manage cookies in your browser settings.


9) Marketing
If you join our mailing list, we’ll send occasional updates about retreats and services. You can unsubscribe anytime.

We may update this policy from time to time. The latest version will always be available on our website.
